Dealership IT Services in Tampa Have to Work Across the Water

Look at a map of the metro and the problem jumps out. Water. A group with one store on Dale Mabry in Tampa, another on US 19 in Clearwater and a third on 34th Street in St. Petersburg is one company on paper, but those buildings sit on opposite sides of a bay, tied together by the Howard Frankland, the Gandy and the Courtney Campbell, and one wreck on any of them rearranges the whole afternoon.

So the fix can’t depend on somebody driving over. It has to reach the store from wherever the problem gets picked up.

That’s how we’ve worked since 1997. Helion Technologies supports automotive and heavy truck dealerships and nobody else, and this page is part of our dealership IT services by location hub. Below is what’s different about Tampa Bay.

  • Remote firstMost tickets close by phone or remote session, so nobody waits on the Howard Frankland.
  • On site when it needs handsField technicians are dispatched for a failed switch, new cabling or a rooftop opening in Pasco.
  • Watched around the clockA US-based team monitors networks, servers and security alerts 24/7, including the nights a storm is coming in.

Whenever your Tampa Bay stores are open, 7 days a week, the help desk is open too. A service writer in Brandon who logs in at 6:30 on a Saturday gets a person, not a voicemail box, and the after-hours calls, the weekend coverage and the field dispatch are all part of one monthly number. Nothing extra shows up later. No trip charges.

The everyday side of that is managed IT support for dealerships. Got an IT manager you’d rather keep? Plenty of groups do, and co-managed IT puts our team behind that person instead of in their chair.

Helene and Milton Hit Tampa Bay 13 Days Apart

Helene never made landfall here. It came ashore in the Big Bend on the night of September 26, 2024, and it still pushed the water 6.31 feet above the normal high-tide line at the St. Petersburg tide gauge, a station that has kept records since 1947 and had never seen more than the 3.97 feet of Hurricane Elena in 1985, according to the National Hurricane Center’s report on the storm. Then came Milton. It made landfall near Siesta Key on October 9 as a Category 3 storm, and by the next afternoon the U.S. Department of Energy counted a peak of 3.4 million Florida power customers in the dark.

Wind gets the headlines. Here, water does the damage. A switch sitting on the floor of a ground-level closet in Pinellas doesn’t need a roof to come off. Six inches of seawater will do it. So the IT plan for a store near the bay starts with height and distance, which means the network and phone gear go up off the floor and the backups live somewhere that can’t flood along with the building. Height first. Before June 1, one of those backups gets restored for real, start to finish. Need a starting point? Use our incident response plan template, see how backup and disaster recovery for dealerships works, and keep the older post on data backup best practices handy. If the DMS is what goes dark, our DMS outage plan covers the first hours.

Our help desk and security team work from Baltimore, more than 800 miles north, so a storm that floods Pinellas doesn’t touch the people answering your phones. Running several rooftops around the bay? The dealer groups page shows how one team covers all of them.

Florida Rules a Tampa Bay Dealership Answers To

Three rules matter here. One is federal and does most of the work. One is a state breach law with a 30-day clock. The third gets the most press and almost never reaches a car store. Groups with rooftops on both coasts will find the same three on our Miami page, because the state line doesn’t move.

RuleWhat it isDate or deadlineAt the store
FTC Safeguards RuleFederal rule for dealers that arrange financing or leasingAppliesAmended rule in force June 9, 2023A written security program, a qualified individual, multi-factor authentication, encryption, testing and vendor oversight. Get the checklist
Florida Information Protection ActFlorida Statutes, Section 501.171Applies30 days to notify peopleNotify the Department of Legal Affairs within 30 days when 500 or more Floridians are affected, and the credit bureaus above 1,000.
Florida Digital Bill of RightsState privacy law written for very large technology companiesNarrow lawIn force July 1, 2024Covers companies above $1 billion in global revenue that also pass a second test, such as earning half that revenue from ads.

Start with the one that applies. Section 501.171 covers any business holding Floridians’ personal information, so it covers every dealership in Hillsborough and Pinellas, and it asks for reasonable measures to protect that data and notices within 30 days of a breach. The federal Safeguards Rule in 16 CFR 314.4 runs right alongside it, with a written security program and its own 30-day notice to the FTC once 500 or more consumers are involved. One breach can start both clocks on the same morning. Plan for both.

And the privacy law? Read how the statute defines a controller. A company needs more than $1 billion in yearly global revenue and then a second trait, like half its revenue from ads, a smart speaker with a voice assistant or an app store with 250,000 or more apps. That’s not a dealer group. Your attorney decides how each rule applies to you, and our dealership compliance team keeps the program that answers both. Stores in other states as well? Compare them in dealership privacy laws by state.

Dealership Cybersecurity in Tampa Bay

The phishing shows up with the cleanup crews. On September 25, 2024, the day before Helene reached Florida, the Cybersecurity and Infrastructure Security Agency warned that emails and social posts tied to a hurricane often carry malicious links or attachments. After a storm, inboxes fill with relief money, insurance forms and FEMA paperwork. A tired office manager is exactly who those messages are written for. One click is enough.

Storms only add to it. CDK Global’s 2024 survey of dealers found that 35% had a cyberattack or incident that year, and 92% of them said it did real financial or operational damage. Our dealership cybersecurity work covers the store’s side of that. A live, US-based security operations center watches the network day and night through managed detection and response, advanced endpoint detection and response guards the computers, and multi-factor authentication goes on email and remote access for every person at the store who uses them. The basics on preventing phishing at a dealership still hold up, Microsoft 365 security closes the inbox most of those emails land in, and the state of dealership cybersecurity shows the bigger picture.

Where We Work Around Tampa Bay

Florida has 953 franchised new-car dealers, according to NADA Data 2025, and some of the state’s oldest names sit around this bay. Ferman’s story in Tampa starts in 1895. Morgan Auto Group runs a statewide group from its Tampa headquarters, and Southport Truck Group sells heavy trucks out of Tampa, Lakeland and Fort Myers. We mention them for scale, not as clients. Deep roots. Port Tampa Bay, the largest port in Florida by tonnage, keeps freight moving all year, so the truck side of this market rarely slows down.

Statewide, franchised dealers are represented by the Florida Automobile Dealers Association in Tallahassee. Our help desk and security team work from Baltimore, on Eastern time like every community below.

Does Helion Technologies offer dealership IT services in Tampa Bay?
Yes. Helion Technologies supports automotive and heavy truck dealerships across Tampa, St. Petersburg, Clearwater and the rest of Tampa Bay with managed IT, cybersecurity, Tekion support and FTC Safeguards compliance. Most help is remote, a support agent answers in 82 seconds on average, and field technicians are dispatched for the jobs that need hands.
How much do managed IT services in Tampa cost for a dealership?
Two things set the price, how many stores you run and which services you pick, so there’s no rate card on the site. What we can say is what’s inside it. After-hours calls, weekend coverage and field dispatch are all in the monthly number, so a Sunday outage in Wesley Chapel never turns into a separate invoice weeks later with a trip charge attached to it. Comparing vendors first? Start with our look at the best managed IT providers for dealerships, then request a price quote for a real figure. Building next year’s numbers? The dealership IT budget checklist helps, and so does our comparison of in-house vs managed IT.
Does Helion have an office in Tampa?
No. Helion Technologies is headquartered in Baltimore, Maryland, and supports Tampa Bay stores remotely, with field technicians dispatched when a job needs someone on site. Same time zone, too.
Which Florida law applies if a Tampa dealership has a data breach?
The Florida Information Protection Act, Section 501.171 of the Florida Statutes, gives a business 30 days to notify affected Floridians after a breach. When 500 or more people are affected, the Department of Legal Affairs gets a notice too. The FTC Safeguards Rule adds its own 30-day notice to the FTC at 500 or more consumers. Your attorney makes the call on each one.
How should a dealership near the bay plan its IT for storm surge?
Plan for water, not just wind. Keep network and phone equipment off the floor, keep backups somewhere that can’t flood with the building, and run a full test restore before hurricane season opens on June 1. Helene set a new record at the St. Petersburg tide gauge in 2024, and nobody planned for that number.
Our group already has an IT manager. Do we have to replace them?
Not at all. With co-managed IT, your IT manager keeps the keys, the vendor calls and the final say, while Helion adds the help desk, the security operations center and extra hands for projects that one person can’t cover on both sides of the bay. That person stays. They just stop working alone. Our co-managed IT responsibility matrix shows who owns what.
Do you support heavy truck dealers around Tampa Bay?
We do. For years now. A heavy truck store runs on a different schedule and often a different DMS than the car store next door, with a parts counter that opens before sunrise. We support Karmak and Procede shops. On the security side, read heavy truck dealership cybersecurity and how the FTC Safeguards Rule applies to heavy truck dealers.
