Managed AI for Dealerships — Governed, Private, Built Into Your IT Program

Your staff is already using AI. Helion makes sure it's yours — isolated, auditable, and managed by the same team that handles your IT, cybersecurity, and FTC compliance.

Helion Managed AI is a private, dealership-branded AI workspace deployed and governed by Helion Technologies. Staff get a full AI capability across every department. Customer data stays inside your environment, isolated from public AI models, owned by the same team managing your IT and compliance.

The tools are in the building. What's missing is any ownership over them.

Reynolds & Reynolds (Q1 2026) found that 57% of dealership employees are already using AI tools. 70% of dealer principals are too.

Dealerships are financial institutions under FTC Safeguards. That's exactly what's moving through those sessions.

Helion manages your IT, cybersecurity, and FTC compliance. Managed AI is the fifth pillar. Same team, same phone number, same standard.

What Is Managed AI for Dealerships?

Managed AI for dealerships is a recurring, governed service — not a software license, not a one-time project. A private AI environment built for your dealership, configured for each department's actual workflows, connected securely to your existing systems, with ongoing governance, access controls, and usage visibility managed by Helion.

Your staff gets the AI capability they're already using in personal accounts. You get a program you actually own.

This is different from the AI your DMS vendor is adding or the chatbot on your website.

Your Own AI Workspace. Your Brand. Your Data.

What Helion deploys is a private workspace that runs under your dealership's brand — not ours, not a vendor's, yours. Every user logs into an environment that looks like it belongs to your organization. Because it does.

Isolated per tenant

Data from your group doesn't commingle with any other organization's.

Zero Data Retention

Your prompts aren't stored by the model provider, and your data isn't used to train anything.

Same access controls, extended to cover AI

Because Helion already manages your identity environment, infrastructure, and security controls, AI access is governed the same way every other system in your dealership is. No separate login. No new vendor to track.

Built Around How Dealerships Actually Work

Generic AI tools assume standard office workflows. Dealerships don't run that way. Here's what Helion Managed AI covers by department:

Service

→ Repair order write-up cleanup→ Warranty documentation prep→ Advisor follow-up drafts

Sales and BDC

→ Lead response drafting from CRM notes→ Internet lead triage→ Follow-up messages in a consistent voice

Parts

→ Vendor quote comparison→ Obsolescence review→ Core and return documentation

Office and accounting

→ Month-end report summarization→ Deal jacket completeness checks→ Schedule reconciliation prep

HR and operations

→ Policy Q&A→ Onboarding content→ SOP drafting — especially useful for multi-store groups where the same questions get answered differently by different managers

Leadership

→ Plain-English questions against dealership reporting→ Vendor contract summarization→ No documents sent outside

AI Governance That Connects to Your Compliance Program

This is the integration no AI vendor can offer you, because no AI vendor manages your compliance program.

Helion's Continuous Compliance program treats FTC Safeguards compliance as an ongoing operational function, not a one-time audit. The same logic applies to AI.

California's ADMT rules, which took effect January 1, 2026, require businesses using automated decision-making in anything touching financing or credit decisions to maintain documented AI governance programs. Most dealers haven't mapped their AI tools against it yet.

The Integration Advantage Nobody Else Has

Every vendor adding AI to their product is working on the surface — an API, a chatbot wrapper, someone else's problem for the security layer underneath.

Helion manages the identity environment your staff authenticates through, the network your data travels across, and the security controls that govern what leaves your building. When Managed AI deploys into that environment, it inherits all of it. Not an integration project. A natural extension of what's already in place.

Think of the Tekion Enablement practice as the model: Tekion's implementation team handles the migration, and Helion stays present after go-live. Managed AI works the same way for the AI tools your vendors are already adding to your stack.

How Helion Deploys Managed AI

1

AI Readiness Assessment

We map what's already in use across departments — which tools, by whom, for what. Multi-store groups typically find more active shadow AI use than leadership expected.

2

Workspace Deployment and Configuration

Private workspace stood up under your branding, connected to Microsoft 365 and existing business systems, access controls and spend limits set per department.

3

Department Rollout and Training

We start with service and BDC, where ROI is fastest, then expand. Training is department-specific — the service writer's workflow and the accounting team's look nothing alike.

4

Ongoing Governance and Compliance Reporting

Usage monitored, access reviewed, audit trail fed into the Continuous Compliance program quarterly. Helion clients have the documentation when the FTC asks. Others scramble.

For dealerships with internal IT staff, the co-managed path means your IT/Ops Manager owns the AI program for the group rather than being bypassed by it.

What People Ask First

01What's the difference between Helion Managed AI and just giving everyone a Microsoft Copilot license?
Copilot is a license. Nobody governs it, reviews usage, tracks what data went where, or connects it to your compliance program. A Copilot license lands in the building and 60 days later half the team isn't using it and nobody's checked whether the other half used it appropriately. Managed AI is a program, not a login.
02Does the AI workspace connect to our DMS?
For Tekion environments, yes — the integration extends naturally from the Enablement practice Helion already manages. For CDK and Reynolds & Reynolds, live DMS data access isn't in scope at launch. The deployment covers Microsoft 365, file storage, email, and business applications outside the DMS.
03How does this relate to our FTC Safeguards compliance program?
Directly. The governance data from Managed AI feeds into Helion's Continuous Compliance program. California's ADMT regulations, effective January 2026, also require documented AI governance for businesses using automated tools in financing or credit decisions. If your compliance program was written before your staff started using AI, there's a gap. This closes it.
04Can we start with one department?
Yes, and for most groups that's the right call. Service is usually first — highest volume of repetitive writing tasks, clearest ROI, most controlled environment before expanding to BDC, parts, and accounting.
05Is our customer data ever used to train the AI models?
No. Zero Data Retention means prompts and outputs aren't stored by the model provider and aren't used to train anything. That's a contractual commitment, not a configuration setting.
06We already have AI tools from our vendors — do we need another one?
Your DMS, CRM, and phone system vendors have added AI that talks to your buyers. That's customer experience. What they haven't addressed is what your staff does internally — the ChatGPT sessions happening right now in personal accounts. That's data exposure and compliance. Different problem, different program.

Your Staff Is Already Using AI. The Question Is Whether Anyone Owns It.

Every week without a governed program is another week of usage happening in personal accounts, outside audit trails, outside your compliance posture.

Helion has been the integration layer for 2,000+ dealerships for nearly 30 years. Managed AI is the next layer of the same program.
