Dealership IT Support Cost: How Managed IT Pricing Works

What goes into the number, what each plan includes, and why the fair comparison is everything your store already pays its IT vendors.

Dealership IT support cost comes down to four things: how many rooftops you run, how many people and devices need support, which plan and services you choose, and the shape your systems are in when we start. Helion Technologies builds every dealership’s number from those four.

What Goes Into Dealership IT Support Cost

Most IT support pricing you’ll find online is quoted per user or per device, and the calculators behind it were built for a 20-person office. A dealership doesn’t look like that. One rooftop has a service drive, a parts counter, F&I offices, a BDC, technicians in the bays connecting to manufacturer systems, and a long list of vendors that all lean on the same network. Two stores with the same headcount can need very different amounts of work. Headcount isn’t the job.

So we don’t start from a seat price. We start from your stores. The number we give you covers what our managed IT for dealerships actually takes on at each one. If you have IT staff you want to keep, co-managed IT changes the scope, and the number follows it.

No rate card, no surprise line items. When you pay the number, the number’s the number.

Input by input

What Moves Dealership IT Support Cost Up or Down

“It depends” is the answer every IT company gives on price, and it’s true. What it depends on is less of a mystery. Six things decide where a dealership’s number lands, and every one of them is something you can see before you sign. Here’s how each one pushes.

Building next year’s budget?

Our dealership IT budget checklist lists the line items dealer groups tend to miss, from license renewals to PCs that are aging out.

What moves the number Six inputs, and which way each one pushes

Rooftops How many stores, and how far apart

Every rooftop has its own circuit, firewall, switches, Wi-Fi, phones and printers, so each store adds real work. Distance matters too. A heavy truck group with branches hours apart on rural highways needs a different plan for hands-on work than four stores sitting a short drive from each other in one metro area. A group that runs one standard build at every rooftop costs less to support than one with a different setup at every store. Sameness is cheaper.

More stores, more to run. One standard keeps it lean.

People and devices Who needs support, and on what

We count the users, the PCs, the shared machines on the service drive, the shop laptops and the printers. That count is where the per-user figure on generic pricing pages comes from, and it’s a real input, just not the only one. Some per-user costs land on you no matter who supports you. Microsoft raised prices on several Microsoft 365 plans on July 1, 2026, so the seats nobody uses are worth finding. Find them first.

Counted at the assessment, never guessed.

Plan How much of IT you hand us

We have three plans. Dealer Defender covers our managed services with no help desk. Service Desk Plus adds the full help desk, and Full Service adds onsite field visits on top of that. The table below lays out what each one includes.

Your call. Each step up adds coverage.

Added services Compliance, Tekion enablement and AI

Some work sits outside the three plans. It’s optional. Continuous Compliance handles the FTC Safeguards program. As a Tekion Referral Advisory Partner, we get a store ready for go-live and deliver Tekion enablement after it, meaning training, adoption and process work. Managed AI is scoped on its own, and it’s a line more dealers are adding. In CompTIA’s IT Industry Outlook 2026, 84% of the business and technology professionals surveyed expected a significant or moderate increase in AI investment.

Only what you add.

Starting condition What we find on day one

This is the input dealers ask about most, more than the monthly number. Fair question, too. We build it right or we don’t take it on, so a firewall out of support, Wi-Fi from a big-box store or a PC that can’t be kept patched gets replaced to standard before we start. PCs are the usual example. Windows 10 support ended on October 14, 2025, and a machine still on it now needs Microsoft’s paid Extended Security Updates to keep getting security patches.

Up front, and shown before you sign.

Your IT staff Fully managed or co-managed

If you have an IT manager you want to keep, they stay in charge of day-to-day priorities, and we cover what one person can’t, like the network, security, compliance or the help desk. Nobody gets pushed out. Your number becomes their salary plus a fee for that scope. You can move from co-managed to fully managed later, or the other way around, with the same team behind both.

Scoped to the gaps.

What Each Helion Plan Includes

The plan is the input you control most directly. This is the breakdown our VP of Service, Rex Marchant, gives dealers who ask what changes from one plan to the next. Three plans, one team.

Our help desk is live Monday to Friday, 8 a.m. to 5 p.m. local time, and Saturday, 8 a.m. to 5 p.m. Eastern, with callbacks on weekday mornings and evenings. The dealership IT help desk page has the full hours and response targets. Same plans, every rooftop.

Why We Compare Against Every Bill You Pay Today

A managed IT quote on its own tells you very little. Erik Nachbahr, our founder and president, puts it this way: “The big thing that we do typically with dealerships, ’cause they don’t have budgets, is we go in and look at all that they’re spending money on, and bring that all together.” That’s the whole method. The comparison isn’t our number against nothing. It’s our number against the separate phone vendor, the security tool an OEM recommended two years ago, the firewall support contract, the hours your controller spends chasing invoices and, if you have one, what your IT person costs with benefits.

Put those side by side and a lot of stores find they’re already paying comparable money for partial coverage. Some land near even and get far more for it. Others find real savings. Our dealership IT vendor consolidation page shows how each of those bills gets handled once the switch is made.

Every bill goes on the table.

A 14-store auto group

Its IT had grown store by store with no plan behind it, and costs had grown with it. Overhauling the infrastructure saved the group over $400,000.

Over $400,000 saved.

A 10-store group in two metros

Three separate networks became one, and the group’s network costs dropped by 60%.

60% lower network cost.

A group that went from 8 stores to 3

When the group split, its whole internal IT team left with it. Its own cost comparison showed outsourcing beat hiring 2 full-time replacements.

Cheaper than 2 hires.

The Team Behind the Number

2,000+ Dealerships under management nationwide
98% Client retention rate
82 sec Average time to reach a live support agent
1997 Founded, and working only with dealerships since

A 98% retention rate is the other half of the price conversation, because a number only matters if it holds up for years. That’s the test. During live support hours, a technician picks up in 82 seconds on average. Our help desk is live weekdays and Saturdays, and our security monitoring runs 24/7. Both sit with the people who run your network and your phones, under one contract.

Want your own number?

Our complimentary IT and cybersecurity assessment puts what you pay every IT vendor today next to what we’d charge. Already know which services you need? Get a price quote.

How much does managed IT cost for a dealership?
It depends on your rooftops, your people and devices, the plan you pick and the shape your systems are in, so we don’t publish one price. The assessment gives you a real figure next to what you pay your vendors today. No guesswork.
Why doesn’t Helion publish a price list?
Because a price list would be wrong for most dealers. A store with a firewall out of support and Wi-Fi from a big-box store needs work that a store on a current, standard build doesn’t, even with the same headcount. We’d rather show you a number that holds than one that changes after the first walkthrough.
Is after-hours support extra?
Not on our help desk plans. After-hours callbacks come with Service Desk Plus and Full Service, and onsite field visits are included on Full Service. Dealer Defender doesn’t include the help desk, so after-hours calls stay with your own staff on that plan. That’s by design.
Is there an upfront cost to switch?
Sometimes, and it’s the question we hear most. If equipment at a store is past its life or isn’t built to our standard, it gets replaced before we take the store on, because we won’t support a setup we expect to fail. The assessment lists that cost before you sign anything. No surprises after.
Can we keep our IT manager and pay for less?
Yes. With co-managed IT, your IT person keeps running day-to-day priorities and we’re scoped to what they can’t cover alone, such as the network, security, compliance or the help desk. The number follows the scope, and they stop being the only one who knows how everything works.
Are compliance and Tekion enablement part of the plans?
No, they’re priced on their own. Continuous Compliance and Tekion enablement sit outside the three Managed IT plans, so you add them only if you need them. Managed AI is scoped separately too.
What’s the difference between the assessment and a price quote?
The assessment looks at your systems and your current bills, and it ends with your total next to ours. A price quote is a shorter conversation for a dealer who already knows which services it wants covered. Most dealers who aren’t sure start with the assessment. Either way, you get a real number.
