A live support agent answers in 82 seconds on average.

Dealership IT Services in Chicago Start With the Time Clock

Walk into almost any service department in the suburbs and ask how the techs clock in. A lot of the time the answer is a finger on a scanner by the door. In most states that’s a payroll detail. In Illinois it’s a legal question, because the state has a biometric privacy law with its own consent rules and its own right to sue, and a dealership’s IT is usually what collects and stores those scans.

That’s one thing that makes this market different. The other is the state line. Plenty of groups with stores in Schaumburg or Orland Park also run a rooftop in Merrillville or Schererville, and Indiana has its own breach law with a hard deadline.

We’ve worked through questions like these since 1997. Helion Technologies supports automotive and heavy truck dealerships and nobody else, and this page is part of our dealership IT services by location hub. Here’s what’s different about Chicago.

  • Remote firstMost tickets close by phone or remote session, so a jam on the Kennedy never decides how long a store stays down.
  • On site when it needs handsField technicians are dispatched for a dead switch, new cabling or a rooftop opening in Joliet.
  • Watched around the clockA US-based team monitors networks, servers and security alerts 24/7, in Illinois and Indiana alike.

Our help desk is in Baltimore. Whenever your Chicago-area stores are open, 7 days a week, the help desk is open too. That covers the porter who opens the service drive in the dark and the closer still working a deal at 10 on a Saturday night. After-hours calls, weekend coverage and field dispatch all sit inside one monthly number that doesn’t change when the problem turns out to be bigger than it looked. No trip charges. Nothing extra shows up later.

The everyday side of that is managed IT support for dealerships, and onsite vs remote IT support explains when a technician really needs to be in the building. Already have an IT manager you trust? Keep them. Co-managed IT puts our team behind that person instead of in their chair.

The Biometric Question Illinois Dealers Ask First

The Illinois Biometric Information Privacy Act covers fingerprints, hand scans and face geometry. Before a business collects any of them, it needs a written policy that’s available to the public, with a retention schedule, and it needs informed written consent from each person. The Act also lets individuals sue. A 2024 amendment limited that to one recovery per person rather than one per scan, which helped, but the consent and retention rules didn’t change at all.

There’s a wrinkle that matters to dealers. Section 25(c) says the Act doesn’t apply to a financial institution subject to the Gramm-Leach-Bliley Act, and a store that arranges financing usually is one. We haven’t found a court ruling on a dealership, though, so treat that as an argument your attorney can make, not something to build a time clock policy on. The Illinois entry in our state privacy law guide has the same caution.

The IT work is the part we handle. We find every device that takes a scan (time clocks, door readers, the key cabinet), map where the templates are stored and which vendor holds them, and set the deletion schedule your policy promises. Your attorney writes the policy. Our dealership compliance team makes sure the systems do what it says.

Illinois and Indiana Rules for Chicago Dealerships

Five lines matter here. One federal rule does most of the work, Illinois adds a breach law and the biometric law, and Indiana adds a breach law with a firm deadline plus a newer privacy act that most dealers won’t fall under.

RuleWhat it isDate or deadlineAt the store
FTC Safeguards RuleFederal rule for dealers that arrange financing or leasingAppliesAmended rule in force June 9, 2023A written security program, a qualified individual, multi-factor authentication, encryption, testing and vendor oversight. Get the checklist
Illinois Personal Information Protection Act815 ILCS 530AppliesMost expedient time possibleAbove 500 Illinois residents, the Attorney General hears about it no later than the customers do.
Biometric Information Privacy Act740 ILCS 14Ask your attorneyConsent before the first scanA public written policy, a retention schedule and signed consent for every fingerprint or face scan. The GLBA exemption is untested for dealers.
Indiana breach lawIndiana Code 24-4.9Applies45 days from discoveryCustomers and the Indiana Attorney General are both notified. Above 1,000 people, the credit bureaus are told too.
Indiana Consumer Data Protection ActIndiana Code 24-15Dealers usually exemptIn force January 1, 2026Exempts financial institutions subject to the Gramm-Leach-Bliley Act and the data that law covers, which takes most franchised dealers out of it.

Illinois still has no comprehensive consumer privacy law of the Virginia kind, so the breach law is where most of the work sits. The Personal Information Protection Act wants customers told in the most expedient time possible and without unreasonable delay, and once more than 500 Illinois residents are involved, the Attorney General has to hear about it no later than they do. Indiana’s breach law is stricter on time. It puts a 45-day outer limit on the notice and copies the state Attorney General every time.

A group with stores in Naperville and Merrillville could owe both on the same morning, plus the FTC. The federal rule in 16 CFR 314.4 needs a written security program and its own 30-day notice to the FTC once 500 or more consumers are involved. Your attorney decides how each rule applies to you, and our compliance team keeps the program that answers all of them. Stores in other states too? Compare them in dealership privacy laws by state, and follow rule changes as they happen in FTC Safeguards Rule news.

Dealership Cybersecurity in Chicago

Pull a list of every login at a busy Chicago store and read it with the controller. You’ll almost always find a salesperson who left in the spring, a former F&I manager whose email still forwards somewhere and a vendor account nobody remembers creating. Each of those is a door. Attackers don’t need to break a window when a key is still hanging by the back entrance.

CDK Global’s 2024 survey of dealers found that 35% had a cyberattack or incident that year, and 92% of them said it did real financial or operational damage. Then June 2024 showed what a vendor outage does to a store that never planned for one. Our dealership cybersecurity work covers the store’s side. A live, US-based security operations center watches the network through managed detection and response, advanced endpoint detection and response guards the computers, and multi-factor authentication goes on email and remote access. Microsoft 365 security closes the inbox where most attacks start, and security awareness training teaches everyone with a login to spot the fakes. Penetration testing and vulnerability scanning shows where an attacker would get in, and our look at auto dealership ransomware shows how those attacks usually start.

Not sure whether you need an IT provider or a security one? Read MSP vs MSSP for dealerships. If the DMS goes dark again, our DMS outage plan and backup and disaster recovery for dealerships keep the store selling. Want the login list cleaned up? Where We Work Around Chicago

Illinois has 698 franchised new-car dealers, according to NADA Data 2025, and most of them sit in the six counties around the city. Big family groups grew up here, like Napleton, which opened its first business on the South Side in 1931, and Fields, which started with one Evanston store in 1971. We mention them for scale, not as clients. It’s a market where a single group can run a dozen rooftops without ever leaving the tollway system. On the truck side, the intermodal complex at Joliet and Elwood is the nation’s largest inland port, according to the Federal Highway Administration, so heavy truck dealers along I-55 and I-80 rarely get a slow week.

Franchised dealers are represented statewide by the Illinois Automobile Dealers Association and in the metro by the Chicago Automobile Trade Association, which has produced the Chicago Auto Show since 1935. Our team works from Baltimore. Your clock still sets the schedule.

Does Helion Technologies offer dealership IT services in Chicago?
Yes. Helion Technologies supports automotive and heavy truck dealerships across Chicago, the collar counties and Northwest Indiana with managed IT, cybersecurity, Tekion support and FTC Safeguards compliance. Most help is remote, a support agent answers in 82 seconds on average, and field technicians are dispatched for the jobs that need hands.
What do managed IT services in Chicago cost a dealership?
It depends on how many stores you run and which services you pick, so we don’t post a rate card. What we can tell you is what’s inside the price. After-hours calls, weekend coverage and field dispatch are part of the monthly number, so a Saturday night outage in Aurora doesn’t come back weeks later as its own invoice with a trip charge on it. Shopping around first? Read our look at the best managed IT providers for dealerships, then request a price quote for a real figure. The dealership IT budget checklist and our comparison of in-house vs managed IT help with next year’s numbers.
Does Helion have an office in Chicago?
No. Helion Technologies is headquartered in Baltimore, Maryland, and supports Chicago-area stores remotely, with field technicians dispatched when a job needs someone on site. Whenever your Chicago-area stores are open, 7 days a week, the help desk is open too.
Do fingerprint time clocks put our dealership under BIPA?
Possibly, and it’s worth an hour with your attorney. Illinois’ Biometric Information Privacy Act requires a public written policy and signed consent before anyone’s fingerprint is scanned. Its exemption for businesses covered by the Gramm-Leach-Bliley Act may reach a dealer that arranges financing, but we haven’t seen a court decide that for a dealership. We’ll find every device that takes a scan and where the data goes.
Our group has stores in Illinois and Indiana. Which breach law applies?
Often both, since each state’s law follows its own residents rather than the store’s address. Indiana sets a 45-day limit and copies its Attorney General on every notice. Illinois brings in its Attorney General once more than 500 residents are affected. Your attorney makes the final call. Plan for the stricter clock.
We already have an IT manager. Do we have to replace them?
Not at all. With co-managed IT, your IT manager keeps the keys, the vendor calls and the final say, while Helion adds the help desk, the security operations center and extra hands for the projects one person can’t cover from Waukegan to Valparaiso. They stay in charge. They just stop working alone. Our co-managed IT responsibility matrix shows who owns what.
Do you support heavy truck dealers around Chicago?
We do, and we have for years. A truck store keeps different hours than the car store down the road, often runs a different DMS, and has a parts counter that’s busy before the sun’s up. We support Karmak and Procede shops. For security, read heavy truck dealership cybersecurity and how the FTC Safeguards Rule applies to heavy truck dealers.
