Secure AI Chat for Dealerships: Private AI Your Staff Can Use

The leading AI models in one private workspace with your store’s name on it, run by the team that already manages your IT.

Secure AI chat for dealerships is a private, managed workspace where staff use GPT, Claude, Gemini and other leading models without customer records leaving the store. Helion Technologies deploys and runs it inside the IT relationship you already have.

The AI Is Already in Your Store. The Chat History Isn’t Yours.

Walk the service drive or the BDC on a weekday and you’ll find somebody asking an AI tool to clean up a customer email or boil down a long note. Most of it happens on personal accounts. Nobody asked IT. Cox Automotive’s 2026 AI tracker found that 82% of dealers already use AI, and that only counts the use a dealer knows about. The rest lives in browser tabs the store doesn’t control, holding customer names, payoff amounts and whatever else got pasted in that day.

Secure AI Chat is the chat workspace inside Helion’s Managed AI program, the fifth pillar next to managed IT, cybersecurity, compliance and Tekion enablement. That page covers the whole program, from the governance it feeds to the service tiers. This one is about the chat itself: what your staff get when they open it, and what your managers get to see.

Staff will use AI either way. What matters is whose account it runs on.

Public AI Tools, a Block, or a Workspace You Govern

Once leadership notices how much AI the store is using, there are usually two reactions. One is to let it ride, since people really are getting work done faster. The other is to block the chatbot sites at the firewall and call it handled. We’ve watched both play out, and neither one makes the data question go away.

Blocking is the one that surprises people. The firewall shuts the sites off on store PCs, and then the same advisor pulls out a personal phone in the service drive and carries on, except now there’s no record of anything at all. The third option is the one we run: give staff a better tool than the free one, on an account the dealership owns, and the reason to work around IT goes away on its own.

The FTC has warned AI companies that customers may reveal sensitive or confidential information when they use AI models. At a dealership that isn’t abstract. It’s a credit application, a trade payoff, a customer’s cell number. Our guide to public AI and customer PII walks through what’s actually at stake when that data lands in a public tool.

A block hides shadow AI. It doesn’t end it.

Public AI tools

Staff use them on their own accounts. They’re fast, they’re free, and the dealership has no record of what went in.

You find out last.

Blocking AI

We’ve seen plenty of stores try it. The sites stop loading on store PCs, and people switch to their phones.

Then you know even less.

A governed workspace

The models your people already like, on an account you own. Access goes by role, and every prompt gets logged.

That’s the one we run.

Inside the workspace

What Your Staff Get When They Open Secure AI Chat

Your people won’t need a class for this. If they’ve typed a question into ChatGPT on their phone, they already know how it works. What’s different is who owns it. The account belongs to the dealership, we set the rules with you, and the models are picked for the work instead of whatever free site somebody bookmarked.

Write the rules first

Decide what staff can and can’t paste into AI before the first person signs in. Our dealership AI use policy template is a free place to start, and the access settings in the workspace follow what it says.

Secure AI Chat, piece by piece What staff use and what managers see

Models GPT, Claude, Gemini and others in one window

Some models are better at a follow-up email to a customer. Others do better with a 40-page PDF of warranty terms. Staff choose from GPT, Claude, Gemini and others in one private window, and when a better model comes along we add it there, so nobody retrains and you aren’t stuck with one AI vendor. That matters.

Switch models, not habits.

Phones The same workspace on iOS and Android

Salespeople are out on the lot, advisors are on the drive, and managers spend half the week between stores. The mobile app carries the same sign-in, the same controls and the same history, so a question asked from the parking lot gets the same protection as one typed at a desk. It’s also the real answer to the personal phone problem that blocking creates.

Same rules in the pocket.

Access Role-based access that Helion manages

Who can use the workspace, and how AI behaves for each group, is set by role and managed by Helion along with the rest of your accounts. One list, one owner. When someone leaves, their AI access goes out the door with the rest of their offboarding instead of living on in a personal login. Rex Marchant’s guide to least-privilege access for AI tools explains why each role should reach only what it needs.

Gone with the badge.

Oversight Adoption reporting and an audit trail

Leadership sees who is using AI, how often and for what, which beats walking the floor and guessing whether the rollout took or whether everyone quietly went back to the free app on their phone. Every prompt and response goes into an audit trail, so when somebody asks what was shared and by whom, there’s an answer on file. That’s the point. Cox found that about 1 in 3 dealers either aren’t measuring AI’s impact or have no clarity on how they measure it.

A record, not a rumor.

Your name Your dealership’s name and logo on it

Staff sign in to something that looks like a store tool, because it is one. It’s yours. Every model call runs with zero data retention, so the AI providers don’t keep the conversation or train public models on it, and client records and financials stay in your environment. The Managed AI page covers the isolation and retention terms in full.

A company tool, not a third-party app.

Where Dealers Stand on AI Right Now

82% Of dealers already use AI
1 in 3 Aren’t clearly measuring its impact
2,000+ Dealerships under Helion management
98% Client retention rate

The first two numbers come from Cox Automotive’s AI in Auto Retail Tracker, released in August 2026 from two survey waves of more than 480 dealers each. The same release found that dealers working with an outside AI partner were more likely to report sales and revenue growth from AI, 36% against 21% for those going it alone. A chat window on its own won’t do that. Setup matters. Somebody still has to set it up for each department, watch how it’s used and adjust, and that’s the part we take on.

How Secure AI Chat Gets Into Your Store

  1. 1

    Ask for the assessment

Our complimentary IT and cybersecurity assessment is where it starts, and it’s free. Plenty of dealers who ask aren’t shopping for a new provider at all. They just want to know where they stand. Fair enough.

  2. 2

    Discover

We find where AI earns its keep at your store, department by department, and which tools people are already using on their own. Usually it’s more than you think.

  3. 3

    Configure

Your private workspace goes live with your policies, roles and controls already in place, under your dealership’s name and on staff phones.

  4. 4

    Support

We monitor usage, report it to leadership and tune the setup as more of the store starts using it. Onboarding starts within weeks of signing.

Common Questions

Want to see it first?

Start with our complimentary IT and cybersecurity assessment. If you’d rather look at the chat itself, book a 15-minute call to see the workspace and scope a pilot.

Which AI models can our staff use?
GPT, Claude, Gemini and other leading models, all from one private interface. Staff choose whichever suits the task, and newer models get added to the same window as they arrive. Nobody learns a new tool. You’re never locked into one AI vendor.
What makes an AI chat secure enough for a dealership?
Ownership, retention and access. The dealership owns the account, the model providers don’t keep or train on the conversations, and access is set by role and removed when someone leaves. Free tools on personal accounts miss all three. That’s why we start there.
Couldn’t we just block ChatGPT instead?
You can, and it usually moves the problem rather than ending it. The sites go dark on store PCs while the same people keep using AI on their personal phones, where there’s no record at all. Handing them a better, approved tool is what actually brings that use back inside. Our AI governance guide covers the policy side.
Can we try it before every store gets it?
Yes, and a pilot is how we’d suggest doing it. A 15-minute call is enough to show you the workspace and scope a pilot around the people and departments that would use it first. If you want the wider picture of your IT and security before that, the assessment comes first.
Is Secure AI Chat different from Helion’s Managed AI?
It’s part of it. Managed AI is the whole program, including the governance that feeds your compliance work, department rollouts and the service tiers, and Secure AI Chat is the workspace your staff actually type into. The Managed AI page lays out the full program.
Will this AI talk to our customers?
No. Secure AI Chat is for your staff, a connected workspace for internal work across departments, not a chatbot on your website or an agent answering the phones. If customer-facing AI is what you’re weighing, our AI phone agent checklist is the better place to start.

Your staff picked their AI tools months ago. Let’s move them onto one the dealership owns.
